Privacy Policy

We collect the details you give us so we can quote and carry out HVAC work: your name, contact details, service address and a description of the problem. It goes into our scheduling and customer records system. We do not sell it, and we do not pass it to anyone outside the people needed to do the job and get paid. You can ask us to delete it at any time.

The short version

Three things are worth knowing before the detail. We only collect what a service call requires. We keep it in one customer records system and nowhere else. You can ask for a copy or ask us to erase it, and we will do that without making you explain why.

What arrives when you contact us

Through the quote form. Your name, phone number, email address, the service address, and whatever you write in the message box. The form also records a timestamp and runs a hidden field that catches automated spam. That hidden field collects nothing about you.

Through a phone call. Your phone number appears on our system when you call. During the conversation we write down your name, service address, what the system is doing and any access notes such as a gate code or where the dog is. If calls are recorded for training or dispute purposes, you will be told at the start of the call.

On the job. The equipment make, model and serial number, the readings taken during the visit, photographs of the work where they are relevant, and the invoice and payment record.

From the website itself. Anonymous traffic measurement. Page views, referring site, approximate region and device type. We do not run advertising pixels and we do not build profiles of visitors.

Why we hold each piece

Contact details exist so we can confirm an arrival window, text you when the technician is close and send the invoice. The service address exists so we can find the property and route the nearest truck. Equipment details and readings exist so the next visit starts with the history rather than from scratch, and so a warranty claim can be supported. Payment records exist because tax rules require them.

Nothing collected is used for anything unrelated to those purposes. We do not add you to a marketing list because you called about a broken capacitor. If we run a seasonal reminder about tune-ups, it is opt-in and every message carries an unsubscribe link that works.

Who else sees it

Our customer records and scheduling system, which is a hosted business software product operating under contract on our instructions. That is the only place your record lives.

Beyond that there are three narrow situations. A payment processor sees what it needs to take a card payment, and we never store full card numbers ourselves. An equipment manufacturer sees your name, address and serial number when we register a warranty or file a claim on your behalf. A utility rebate program sees the install details required by its own application form, and only when you are claiming that rebate.

We do not sell personal information. We do not share it for anyone else’s advertising. We do not pass it between businesses.

How long it stays

Quote requests that never turn into a job are deleted after twenty four months. Customer and job records are kept for seven years from the last invoice, because warranty terms, tax record requirements and any dispute about work performed all sit inside that window. Call notes attached to a job follow the same schedule. Anonymous website statistics are retained in aggregate and are not tied back to a person.

Cookies and measurement

The site runs no advertising or tracking cookies. If a session or preference cookie is set, it exists to make the site function rather than to follow you. Analytics are configured to measure traffic in aggregate. Your browser’s do-not-track setting is respected, and blocking cookies entirely will not stop the site working or stop a form submitting.

Your rights and how to use them

Several US states, including Arizona in its own statutes on data breach and consumer protection, give residents rights over personal information, and some states give explicit rights of access, correction, deletion and objection to sale. We apply the same approach to everyone who contacts us regardless of where you live, because operating two standards would be more trouble than it is worth.

You can ask us to send you a copy of what we hold, correct something that is wrong, delete your record, or stop contacting you. Use the phone number or email address on our contact page and say which of those you want. We will confirm your identity with a detail from the record, act within thirty days, and tell you in writing when it is done. There is no charge.

One limit is worth stating plainly. If you ask us to delete everything while an invoice is unpaid or a warranty claim is open, we will keep the minimum needed to resolve that and delete the rest, then remove the remainder once the matter closes.

Children

This site and our services are for adults arranging work on a property. We do not knowingly collect information from anyone under sixteen.

Changes to this policy

If this policy changes, the updated version replaces this page and the revision date changes with it. Material changes that affect how we handle existing records will be notified directly to anyone with an active record rather than quietly posted.
